The employee can present their certifi- cates to a supervisor who then vets and uploads copies into the LMS. This results in a permanent, always acces- sible record for the employee. Recurring Training A maritime-oriented LMS can keep a library of training and competencies with information on how often it needs to recur. The LMS can then report on and notify each employee when training must recur. Additionally, if the training is LMS-based, the LMS may automatically re-register the trainee in the required course. Basic Checklists Some forms of assessment require a subject matter expert to assess a trainee, resulting in the ubiquitous checklist. With an LMS, the checklist is filled out on a computer or a tablet. The informa- tion is immediately recorded into the database, giving the opportunity for intelligent reporting about the indi- vidual and the crew. Reports can show common deficiencies, the average state of completion and other data that help identify company strengths and oppor- tunities for improvement. Recording Drills Depending on the LMS, there may be functionality that support the recording of and reporting on drill par- ticipation. Typically, an instructor or assessor will use a tablet to identify the drill participants, and then grade each participant on specific performance markers. The LMS will then be able to report not only on basic information such as who participated in the drill, but it will be able to evaluate the per- formance of each individual and of the entire drill team. Access to Needed Information Too often records are buried in Excel files or in boxes of folders. An LMS ensures that the needed informa- tion is immediately available either on-demand or via timely notification. As an example, most LMSs will provide reports that can be accessed securely anywhere on the Internet at any time. Such reports support immediate access to up-to-date records - even if the data was recorded just hours before in the middle of the ocean. Many LMSs will also support the creation of automated notifications. For example, a text message could be set to alert trainees and administra- tors in advance of a certification expiry. Notifications can also be sent to and from other software systems (such as HR or payroll) to automatically manage training and tracking as new employees are hired, promoted, and moved from vessel to vessel.
